Policy Overview

The following policies are in place to ensure a smooth, professional, and enjoyable experience for both the client and the photographer. By booking a session with Hannah Hayes Photography & Videography, you acknowledge that you have read, understood, and agreed to the policies outlined below.

These policies are designed to protect the time, creative work, and expectations of all parties involved. Please review them carefully prior to booking. If you have any questions, feel free to ask before securing your session.

Below is the listed policies:

BOOKING & PAYMENT


A $50 non-refundable deposit is required to book and secure your session date. An invoice must be paid at least 24 hours in advance to secure your spot. Failure to pay the invoice within the required time frame may result in the session being released and offered to the next client on the waitlist. The remaining balance is due in full prior to the start of the session.


CANCELLATIONS & RESCHEDULING


Clients are allowed one reschedule with at least 48 hours’ notice, subject to availability. The rescheduled session must take place within two months of the original session date. Rescheduling with less than 48 hours’ notice is considered a cancellation, and the non-refundable deposit will be forfeited. If a session is canceled or forfeited, a new deposit is required to book a future session.


NO-SHOW POLICY


Arriving 15 minutes or more late to your scheduled session will be considered a no-show. The session will be canceled, and the non-refundable deposit will be forfeited.

SESSION DETAILS & TRAVEL FEE


Session length, location, and image count vary based on the package selected at the time of booking. Clients are expected to arrive on time and prepared for their session. Locations outside a 25-mile radius of Denison, Texas will require a travel fee of $0.65 per mile. Studio rentals or locations requiring special access may result in an additional fee. Session times are not extended for late arrivals, and any additional time or requests outside the booked package may require an added charge.


Gallery DELIVERY & STorage


All images will be delivered via a high-resolution online gallery. It is important to download your images from the gallery to receive the best quality for your investment. Screenshots or saving images in any other way will significantly reduce the image quality. Galleries are typically available for 30 days, and clients are responsible for saving and backing up their images, as the photographer is not responsible for lost or deleted files after the gallery expires.


Weather


Outdoor sessions are subject to weather conditions. If severe weather occurs, the session may be rescheduled at no additional cost, based on photographer availability. If the session cannot be safely completed due to weather and cannot be rescheduled, the deposit may be applied to a future session at the photographer’s discretion.The photographer will reach out to clients before the scheduled session time with any updates regarding weather.

Turnaround Time


The current turnaround time for edited images is 1–3 weeks, depending on the season. Please plan your session accordingly if you need your photos by a specific date.

Communication


It is important to communicate with your photographer. If the photographer does not hear from the client at least 4 hours before the scheduled session, they reserve the right to cancel or reschedule the session.


Marketing & Social Media


By booking your session with Hannah Hayes Photography & Videography, you agree that your images may be used for marketing and portfolio purposes, unless otherwise discussed prior to the session.

Usage Rights & Copyright


All images remain the property and copyright of Hannah Hayes Photography & Videography. Clients are granted personal use rights for their images, including printing and sharing with friends and family. Images may not be sold, altered for commercial use, or claimed as your own without written permission from the photographer.

Additional Information


By booking a session, you agree to all policies listed above. Please arrive prepared and on time, communicate promptly, and treat all locations and equipment with care. The photographer is not responsible for personal injury, lost or damaged items, or unforeseen circumstances beyond their control. If you have any questions about these policies or your session, please contact the photographer prior to booking.


 

WEDDING POLICIES

 

Booking & Retainer

To secure your wedding date, a signed contract and non-refundable retainer are required. Wedding dates are reserved on a first-come, first-served basis and are not held without the retainer.

The retainer goes toward the total package price but is non-refundable under any circumstances because the date is removed from availability once booked.

Promotional or Discounted Packages


From time to time, promotional or discounted wedding packages may be offered. These packages are final sale and non-refundable due to the significantly reduced rate compared to standard wedding pricing.

By booking a promotional package, you acknowledge that the value of the services provided is significantly higher than the promotional rate.

Payments

Payment schedules will be outlined in the contract. The final balance must be paid before the wedding day unless otherwise agreed upon.

If payment is not completed by the due date, coverage may be paused or cancelled.

Accepted forms of payment will be listed in the invoice or booking portal.

Rescheduling


If a wedding date must be rescheduled, the Photographer will make every reasonable effort to accommodate the new date.

If the Photographer is unavailable for the new date, the booking will be considered a cancellation and payments will not be refunded.

Cancellations

f the Client cancels the wedding for any reason, all payments made are non-refundable. This includes the retainer and any additional payments made prior to the cancellation date.

Coverage Time & Overtime

Wedding coverage includes the number of hours stated in your package.

If additional coverage is needed on the wedding day, overtime may be available at a rate of $150–$200 per hour, depending on availability.

Policy Agreement

By booking with the Photographer, the Client confirms they have read, understood, and agreed to all wedding policies listed on this website.
